Privacy Policy

TUITIONsimple (“TUITIONsimple,” “we,” “us,” or “our”) is a tutoring management platform operated by Complete Content Management Services, Inc. (“CCMS”). This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to the TUITIONsimple platform at tuitionsimple.ccmssolutions.com and the tenant portals we host on our customers’ behalf.

This policy specifically covers our handling of information obtained through Google APIs when a tutor chooses to connect a Google Calendar. See Section 4 and Section 5 for those details, including our Limited Use commitment.

1. Who We Are and Our Role

TUITIONsimple provides scheduling, billing, and session-management software to tutoring businesses (“Customers”). Those Customers, their staff and tutors, and the parents and students they serve, use the platform.

For most information entered into the platform (student, parent, session, and billing records), the Customer tutoring business is the data controller and TUITIONsimple acts as a data processor, handling that information under our agreement with the Customer and their instructions. For the Google account information a tutor connects (Section 4), the connecting tutor is the end user granting access, and TUITIONsimple processes that information solely to provide the calendar-sync feature described below.

2. Information We Collect

Account information. When a Customer, administrator, or tutor is given an account, we collect names, email addresses, usernames, and role assignments.

Platform data. To deliver the service, the platform stores information Customers enter, which may include student and parent contact details, tutoring session schedules, attendance, tutor assignments, rates, and billing and payment records.

Usage and device information. We collect standard log data such as IP address, browser type, pages accessed, and timestamps to operate and secure the platform.

Google account information. If a tutor connects a Google Calendar, we receive the information described in Section 4. Connecting a Google Calendar is optional; the platform is fully usable without it.

3. How We Use Information

We use information to:

  • Provide and operate the tutoring management platform for our Customers;
  • Create, update, and cancel calendar events for scheduled tutoring sessions when a tutor has connected a Google Calendar;
  • Authenticate users and secure the platform, including fraud and abuse prevention;
  • Maintain, troubleshoot, and improve the service; and
  • Comply with legal obligations.

4. Google Calendar Data We Access and Why

A tutor may connect their Google Calendar so that their tutoring sessions appear and stay in sync on their own Google Calendar. If a tutor grants access, we request the following Google Calendar permission:

  • See and edit events on your calendars
    https://www.googleapis.com/auth/calendar.events

We use this permission only to:

  • Create calendar events that correspond to the tutor’s scheduled tutoring sessions;
  • Update or cancel those events when a session’s time, details, or status changes; and
  • Read back the events we created in order to keep them in sync.

We do not use this access to read, analyze, or store the contents of a tutor’s other personal calendar events, and we do not access any Google data beyond what is needed to manage the tutoring-session events described above.

5. Limited Use of Google User Data

TUITIONsimple’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In keeping with those requirements:

  • We use Google user data only to provide and improve the calendar-sync feature described in Section 4;
  • We do not transfer or sell Google user data to third parties, use it for advertising, or use it for any purpose unrelated to that feature; and
  • We do not allow humans to read Google user data except with the tutor’s consent for a specific support request, where required for security purposes (such as investigating abuse) or to comply with applicable law, or where the data has been aggregated and anonymized.

6. What We Store and How Long

When a tutor connects a Google Calendar, we store an encrypted OAuth token that lets the platform manage that tutor’s tutoring-session events, and identifiers for the events we create, so we can keep them in sync. We do not store the contents of the tutor’s other calendar events.

We retain the token and event identifiers until the tutor disconnects the integration, the tutor’s account is removed, or the Customer’s account is closed, after which they are deleted. Platform data is retained for as long as the Customer maintains its account and as required by law, then deleted or returned per our agreement with the Customer.

7. Your Choices and How to Disconnect Google

A tutor can disconnect the Google Calendar integration at any time from within the platform, which revokes our access and deletes the stored token. A tutor may also revoke access directly at https://myaccount.google.com/permissions. After disconnection we no longer create or modify events on that calendar.

To request access to, correction of, or deletion of account information, contact us at privacy@ccmssolutions.com. Where TUITIONsimple acts as a processor, student, parent, and billing requests are directed to the Customer tutoring business that controls that data, and we will assist them as required.

8. How We Share Information

We do not sell personal information. We share information only:

  • With service providers who host and support the platform, under contracts that restrict them to performing services on our behalf;
  • With the Customer tutoring business whose account the data belongs to;
  • As required by law or to protect the rights, safety, and security of TUITIONsimple, our users, or others; and
  • In connection with a merger, acquisition, or asset sale, where any successor is bound by this policy.

Google user data is never sold or shared for advertising, consistent with Section 5.

9. Data Security

We use administrative, technical, and physical safeguards, including encryption of stored OAuth tokens, to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Children’s Privacy

TUITIONsimple is a business tool used by tutoring organizations and is not directed to children. Any student information in the platform is entered and controlled by the Customer tutoring business, which is responsible for obtaining any consents required by law.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted with a new Effective Date at tuitionsimple.ccmssolutions.com.
